Nowadays, we are seeing an increasing demand for the validity of the digitisation of documents received on paper support to be recognised, allowing the substitution of original documents on paper by the corresponding files containing the graphic images of the same and, consequently, the destruction of enormous amounts of paper that constitute original documents can be authorised, with the consequent savings in document management and file handling, so favouring the reduction of costs. However, this digitisation must take place without reducing the security and documentary guarantees which, as proofs, are provided by original documents on paper which they are intended to replace, in whose support they are usually sent and received by business or professional people.
Many countries already have regulations in this respect allowing registered digitisation systems that allow them to balance the public interest represented by the Administration and the interests of those entrepreneurs and professionals who wish to have an archive or IT document database that compiles all the graphic images of the invoices and other documents or proofs on paper, which must be kept throughout the validity period of the document.
These systems are generally based on the addition of an electronic signature and/or a time marker (Timestamp), typically provided by a trusted third party.
